Connect your Gmail or Outlook account to send and receive emails directly in RevOrbit.

Connect your Gmail or Outlook account to RevOrbit so you can send and receive personal emails directly within the CRM. As of v2026.99, personal sends require OAuth — replies route back to your real inbox and your sent items appear in Gmail/Outlook. Connection management lives in Profile → Email, with a shortcut Email Accounts entry in the user dropdown menu.

Connect Gmail

Link your Google account to sync emails and send messages directly from RevOrbit.

Click your name in the top-right corner and select Email Accounts

Sign in with your Google account and grant the requested permissions

Once authorized, your Gmail account will appear as connected

Connect Outlook / Microsoft 365

Link your Microsoft account to sync emails and send messages directly from RevOrbit.

Click your name in the top-right corner and select Email Accounts

Once authorized, your Outlook account will appear as connected
Each user connects their own email account. Email connections are per-user, not organization-wide. This means each team member manages their own connected account independently.

Automatic Email Sync

Once connected, your emails sync automatically in the background without any manual action required.

Disconnect an Account

You can disconnect your email account at any time if you no longer want emails to sync.

Go to Email Accounts from the user dropdown menu

Click Disconnect next to the connected account

Confirm the disconnection when prompted
If your email stops syncing, your OAuth token may have expired. Visit the Email Accounts page and click Re-authenticate to reconnect your account.

Security

Your email credentials are protected with industry-standard encryption. OAuth tokens are encrypted at rest using AES-256-CBC encryption. RevOrbit never stores your email password — authentication is handled entirely through OAuth with Google or Microsoft.

If you change your Google or Microsoft password, or revoke app access from your provider's security settings, you will need to re-authenticate your email account in RevOrbit.

No. Previously synced emails remain in RevOrbit. Only future syncing stops when you disconnect.

RevOrbit matches email addresses on incoming and outgoing emails to your contacts and leads. If a matched contact or lead is associated with a deal, the email is also linked to that deal.
