Quotes let you create professional pricing proposals for your deals. Each quote includes line items from your product catalog, automatic total calculations, and PDF generation. Quotes are always linked to a deal.

Quotes List

The Quotes page shows all quotes across your organization.

Navigate to Quotes in the sidebar.

Use the search bar to find quotes by number, deal, or company.

Filter by status (Draft, Sent, Accepted, Rejected, Expired).

Click a quote row to open the quote detail.

Creating a Quote

Quotes are created from within a Deal Workspace, ensuring they're always linked to an opportunity.

Open a Deal and go to the Quotes tab.

Click + New Quote.

The quote auto-fills with the deal's contact, company, and payment terms.

Set the issue date, expiry date, and currency.

Add line items from your product catalog — select a product, set quantity, unit price, and optional discount.

RevOrbit calculates the subtotal, tax, and total automatically.

Add optional notes at the bottom of the quote.

Click Save.

Line Items

Each quote contains one or more line items. Products are pulled from your product catalog with default pricing, but you can override prices per quote.

Click Add Line Item to add a row.

Select a product from the dropdown (searches your product catalog).

The unit price auto-fills from the product but can be edited. Prices support up to 5 decimal places (e.g. 0.75075) for high-quantity per-unit pricing — displayed with 2 decimals unless more precision is entered.

Set the quantity and optional discount (percentage).

The line total calculates automatically and rounds to 2 decimals (invoice precision).

Drag rows to reorder line items.

PDF Generation

Generate professional PDF quotes with your company branding.

Open a quote and click Generate PDF.

The PDF opens in a preview window within the app.

The PDF includes your company logo, quote details, line items, totals, and notes.

The PDF header shows the Sales Rep name, title, email, and phone under the Valid Until date.

The address section shows Bill To (partner) and Ship To (customer) columns. If a Reseller is set on the deal, it appears as a third address column.

Click Download to save the PDF.

Quote Statuses

Track the lifecycle of each quote through its status.

Draft — Initial state. The quote is being prepared.

Sent — The quote has been sent to the customer.

Accepted — The customer has accepted the quote.

Rejected — The customer declined the quote.

Expired — The quote passed its expiry date without a response.

Duplicating a Quote

Create a revised version of a quote by duplicating it.

Open the quote you want to revise.

Click Duplicate.

A new quote is created with the same line items, pricing, and details.

Edit the duplicate as needed and save.
The copy's expiry date is recalculated from today, not carried over from the original — so refreshing a stale quote never produces one that is already expired. The copy keeps the original's validity window: a quote written with a 45-day window is still valid 45 days, counted from the day you duplicate it. If the original had no expiry date, the copy has none either. If the original's window can't be determined, the copy falls back to the default validity days in Settings > Quote Settings.
Configure your default currency, tax rates, payment terms, and quote numbering prefix in Settings > Quote Settings before creating your first quote.
